System Notifications by E-Mail

1 Description

ILIAS is sending notifications automatically when specific workflows / procedures have been exectuted, e.g. a user asks for course or group access or a user answered a monitored posting. At the time being, these messages do not always contain sufficient information for the recipient. And they are not build up in the same way and with general headers and system information. Thanks to a research by Norbert Bromberger and Florian Suittenpointner, we have a list of existing notifications and also missing ones.

 

Development Plan:

We like to introduce a basic notification structure for all these messages and to streamline the existing ones step by step. The "poorest" messages shall be revised and changed for 4.0. All notifications should have the following structure [1]:
  • Salutation
  • Message (What has happened?)
  • Task (What do I have to do?)
  • Explanation (Why do I receive the following message?)
  • Additional information (This mail has been sent automatically by the ILIAS installation {client name}, URL: {client URL}...)
  • Signature

The messages have a kind of table style. Example:

You have been subscribed to a course:
Course title: XYZ
URL: http://.....

This style is much easier to handle in different languages because there is no need to include system data into the language text and to take care of the different grammar in different languages.

Would it be possible to put the "What do I have to do?" before the "Why I am getting this e-mail" ?

Placing the most important message at the very beginning of the e-mail text makes the message more efficient for the readers. This is because many mail programs (such as the ILIAS Personal Desktop, Outlook and the iPhone) show the first few words of the e-mail in a preview.

Also, it can be expected that fewer readers are interested into the "Why".
The "Why" is only new information for the first e-mail a user gets from ILIAS. For all further e-mails, it is just data.

JF 5 June 2009: We had difficulties to distinguish exactly the "Why" and "What happened" parts. We should examine one or two concrete examples to make the structure clearer. We appreciate the Werner's suggestion and changed the sorting.

Little, 03/07/2009:
Will it be possible to deactivate chosen system-notifications easier? We've manually deactivated the add/remove-to/from-group/course-notification because we've got a lot of external users which don't know ILIAS yet but recieve a notification from us/ILIAS without knowing they'll use the platform in several weeks. It would be great to have it in administration instead of changing the code.

Matthias Kunkel, 04.09.09: De-activation of automatic system messages cannot be realised before 4.1. For 4.0 we will only streamline the messages according to the structure mentioned above. But I appreciate this feature very much.

JF 5 Okt 2009: Stefan streamlined most of the course and group mails for 4.0 using a central class. We need to move forward with this in release 4.1.

Little 14/06/2010:
How is the roadmap: Will our suggestion of de-activation of automatic system messages (03/07/2009) be implemented with 4.1 like anounced by Matthias Kunkel (04/09/2009)?

Matthias Kunkel, 13 Sep 2010: Deactivation of system messages has not been implemented for 4.1. Sorry for any wrong promise... Please add a new feature wiki page for this request. This could become part of our planned "messages and notification revision".
