1 Initial Problem

There were several requests for an automated out-of-office message for a given period of time when receiving internal mails.

2 Conceptual Summary

Mail-Settings or options get a new option "Enable Autoresponder".

With activation, further settings are available:

  • Duration (mandatory)
  • Subject (mandatory)
  • Message (mandatory)

Behaviour of the autoresponder:

  • The recipent of an autoresponse receives the mail according to it's own personal mail settings (only local | forward to email address | local and forwarding)
  • The autoresponse only applies to messages sent by a user to other recipients (except: external email addresses). Automatic messages (e.g. about joining a course) are not answered with autoresponse.
  • Recursions / circular autoresponses are prevented.
  • If a signature is defined, it is also appended to the autoresponder when the mail is sent.

5 Privacy

The recipient of the autoresponse may be informed of a date-related absence via the message. There might be further entries to the ILIAS log file. No additional data will be stored in the ILIAS database.

9 Discussion

JourFixe, ILIAS [jourfixe], 11 JUL 2022 : We highly appreciate this suggestion and schedule the feature for ILIAS 9.

We would like to extend the request by the option to define the "idle time" until an autoresponder sends again a reply. This period of time should be set by the system administrator of an installation in general. A default of "3 days" should be set. This date should also be provided to the user in the byline of the input. Additional funding for this extension is provided by Universität Hohenheim.
