Group and Course Mail Prefix

1 Initial Problem

Sending mails to member of courses and groups is an often used scenario to improve communication with and among learners. But it often is not that easy to identify from which course or group a mail is coming from. And a lot of users are not only member in one course or group. Also filtering is not possible because there is no reliable text in the mail that can help to identify the source of the mail properly.

2 Conceptual Summary

The problem mentioned above could be solved very easily. All components that allow to send mails to their members should get the possibility to define a mail prefix in the object's settings. This prefix extends the existing mail prefix for the entire installation.

Example:

• The globally defined mail prefix for the docu installation docu.ilias.de is "docu".
• The course prefix for the Special Interest Group "SIG E-Assessment" is defined as "SIG EA".
• The current subject of a mail send from this group is changed from "[docu] …" to "[docu : SIG EA] …"

• In case no local prefix is entered, ILIAS just uses the defined global prefix from the mail administration.
• All existing courses, groups and other objects will have an empty local prefix after upgrading to the new ILIAS version.

3.2 User Interface Details

The settings screen of courses and groups get a new key-value-pair with byline in the section "Additional Features":

• Key: "Mail Prefix"
• Value: Text input
• Byline: Enter a short text that is added to the subject line of mails send to members to make identifying these mails easier.

JF 22 Feb 2012: We appreciate this idea and schedule it for 4.3. We agree that it should be a setting in courses/groups.
